A Guide to the Deposit of a Completed Thesis in the Library
These notes are intended to supplement the regulations governing the deposit of Masters and PhD theses as published in the University of Canterbury Calendar.
How many copies do I need to deposit?
- Deposit takes place after the candidate has been approved for the award of the degree. The deposited copies must include any revisions required by the examiners.
- It is the senior supervisor's responsibility to ensure that one print copy and one digital copy of your thesis is deposited in the Library after your thesis has been marked and corrected.
- Your degree will not be conferred until both the print and digital copies have been received by the Library.
The print copy
- The print copy must be on A4 paper, unbound or soft bound. All forms of computer-generated printing are acceptable provided they photocopy well. The printed copy must contain an abstract.
- The printed copy can be delivered to Room 117, Otakaro, Dovedale Campus. Please note: In early January, if the Otakaro building is closed, please deliver them to the Education Library.
The digital copy
- The digital copy must be in PDF format. For more information see Converting your thesis to PDF and/or Files and filenames.
- Additional information must be provided in electronic format including the abstract, keywords, and other basic metadata.
- Deposit of the digital copy will usually be through the web form accessed from the Library's Depositing a digital thesis web page.
- When your thesis has been processed by the Library, you will be notified by email.

How do I know that I have fulfilled the requirements to graduate?
- The Registry receives a receipt from the Library only when the Library has received both the print and digital copies of your final corrected thesis. You could check with them that your thesis has had a receipt issued.
- Alternatively your senior supervisor has administrative responsibility for ensuring that you have met the regulatory requirements, so you could check with them.
